Overview

In 2009 Wizmen recognised a gap in education administration: schools were running sophisticated institutions on fee registers and spreadsheets. We launched a dedicated School Fee & Management System, and Lahore American School was the institution we built it with. An international school bills families on its own calendar, in more than one currency, with advance payments, sibling arrangements and optional services — and every rupee has to land correctly in the accounts.

01The challenge

Every family, every term, every fee — exactly right

A fee error is not an accounting problem at a school; it is a conversation with a parent. The system had to be precise for every family, every term.

  • 01

Fee structures needed to vary by grade and programme, with optional fees and concessions applied per student.

  • 02

Families with several children had to be billed and receipted as one household, with a clear guardian-level statement.

  • 03

Fees received in advance had to be recognised as revenue over the term they cover, not on the day they arrive.

  • 04

The finance office needed dues, collections and cash visible without assembling reports by hand.

02Our approach

Start with the student, end with the ledger

We modelled the school as it actually works — students, families and terms — and let the accounting follow from it automatically.

  1. 01

    Students and guardians

Student profiles were linked to their guardians, so every bill and receipt can be read per child or per household.

  2. 02

    Fee structures

Fee types, optional fees and concessions were defined once per grade and programme, then applied automatically each billing cycle.

  3. 03

    Billing and collection

Fee vouchers, receipting and dues tracking run on the school’s calendar, with multi-currency support where families pay from abroad.

  4. 04

    Revenue and accounts

Advance fees are recognised automatically over their term, and every transaction posts to the general ledger alongside cash and bank.

03The solution

Fee management that understands a school

The deployment is built on Wizmen’s School Fee & Financial Management System, running on the Wizmen Oracle ERP backbone.

04The outcome

The foundation of our education practice

What we built with Lahore American School became the product other institutions now run on, including Laurel Bank Schools since 2021.

  • One statement per family

Guardians see every child’s fees, payments and balance on a single, clear account.

  • Billing cycles that run themselves

Fee structures apply automatically each term, so the finance office reviews bills rather than writing them.

  • Revenue in the right period

Advance fees are spread over the term they cover, keeping the school’s accounts accurate month by month.

  • Dues visible at a glance

Outstanding fees are tracked by student, grade and family, without a manual reconciliation.

Years and counting

A school’s finance office serves families, not just ledgers. Since 2009, that has been the brief for every education system we build.
