Case study · Distribution

Moving stock since 2001, without ever losing sight of it

Imperial Traders joined Wizmen in the year we were founded. Today, every order, dispatch and receivable still runs through the same system.

Overview

Imperial Traders joined Wizmen in 2001, the year we began, and the longest-serving partner on our books. Distribution of tyres and industrial goods is a volume business: wide product ranges, many customers on credit and stock spread across more than one location. The margin lives in the detail — what was sent, to whom, at what price, and whether it was paid for. Since 2001, Imperial Traders has kept that detail in Wizmen.

01The challenge

High volume, many parties, thin margins

A distributor sits between suppliers and a long list of customers, and is accountable to both. Every gap between what the warehouse holds and what the books say costs money.

  • 01

Wide ranges of stock had to be tracked by item, size and location, with quantities the warehouse and accounts both agree on.

  • 02

Orders, dispatches and returns had to flow from quotation to invoice without being re-keyed at each desk.

  • 03

Customers trading on credit needed limits, aging and collections visible before the next order was released.

  • 04

Purchases from principal suppliers had to reconcile against receipts, invoices and payments.

02Our approach

Built around the order

Every transaction in a distribution business starts with an order and ends with cash. We built the system along that line, so each step completes the record for the next.

  1. 01

    Inventory first

Item master, warehouses and stock movements were set up so every unit received, transferred or dispatched is recorded once, at the point it moves.

  2. 02

    Order to dispatch

Quotations, sales orders, dispatch advice and invoicing were linked end to end, with returns handled against the original dispatch.

  3. 03

    Credit under control

Customer credit limits in days and amounts, aging reports and receipting were brought into the sales flow, not left to a separate ledger.

  4. 04

    Purchasing and the ledger

Purchase orders, goods receipts and supplier payables close the loop, posting into one general ledger alongside cash and bank.

03The solution

The deployment is built on Wizmen’s Distribution Management System, running on the Wizmen Oracle ERP backbone.

04The outcome

The longest partnership on our books

Imperial Traders has been with Wizmen for every year since we were founded. The system has been upgraded many times; it has never been replaced.

  • Stock the books agree with

Every movement is recorded where it happens, so the warehouse count and the inventory ledger read the same.

  • Credit checked before dispatch

Limits and overdue balances are visible on the order itself, so risk is managed before goods leave.

  • One flow, order to cash

Orders, dispatches, invoices and receipts are one connected chain rather than four separate registers.

  • A quarter-century of history

Customer, supplier and item history from 2001 onward sits in one system, available for every decision.
